Rescheduling and cancellation
For front desk and providers. Takes about six minutes.
An appointment can be moved or cancelled from the calendar or from the appointment itself. Both actions notify the patient on the channels they accepted, and both stay on the record, so the clinic can tell later whether a slot was lost to a patient cancellation or a clinic-side change.
1. Move an appointment
Open the appointment from the day or week view. Choose Reschedule, then pick the new slot. Anzolo checks the provider, the room and the procedure length again, so a move that would clash is refused rather than accepted with a warning.
Note.
Moving an appointment keeps its notes, intake responses and any invoice already attached. You do not need to create a new booking.
2. Cancel an appointment
Choose Cancel and select a reason. The reason is what reports use later to separate patient cancellations, no-shows and clinic-side changes, so pick the closest one rather than leaving it on the default.
Warning.
Cancelling does not void an invoice that has already been issued for the visit. Correct the invoice in Billing separately.
3. What the patient receives
Both actions send a message using the clinic's template for that event, on the channels the patient accepted. The message appears in the patient's conversation in Messages, so anyone answering the phone can see what was sent and when.
Tip.
If a patient asks to move an appointment by message, reschedule from the appointment rather than replying with a new time — the confirmation then goes out automatically.
